Caring Circle Support Network – Werribee / Hybrid

Caring Circle Support Network is a growing, values-led NDIS provider committed to delivering high-quality, ethical, and person-centred supports. We are seeking an organised, resilient, and reliable After Hours Rostering and Admin Officer to support the smooth day-to-day running of our business.

This role is ideal for someone with NDIS Rostering experience who is comfortable being on the phone, working autonomously, engaging with participants, families, and staff, and who understands the realities of working in disability services.


About the Role

As our After Hours Rostering and Admin Officer, you will be a central point of contact for the organisation from 6pm- 10pm weekdays and on the Weekends. You will spend a significant portion of your shift answering after hours phone calls, text messages, responding to enquiries, amending the roster and communicating with staff and participants, while supporting the operational and administrative needs of the business.


Key Responsibilities

Administration & Communication

  • Answering and managing incoming phone calls and text messages on a daily basis
  • Responding to enquiries from participants, families, and staff
  • Managing inboxes, correspondence, and general enquiries
  • Maintaining accurate participant, staff, and service records

Operations Support

  • Assisting with rostering, scheduling, and shift coordination
  • Supporting invoicing, timesheets, and operational reporting
  • Liaising regularly with support workers, participants, families, and external stakeholders
  • Supporting compliance-related documentation and processes
  • Assisting leadership with day-to-day operational tasks

About You

You will ideally have:

  • Experience in NDIS Rostering and Administration
  • Confidence being on the phone and communicating throughout your shift
  • Ability to work autonomously
  • A strong understanding of the disability sector and its complexities
  • Emotional resilience and professionalism — able to remain calm and not take things personally when supporting people with disability, families, or staff
  • Strong organisational and time-management skills
  • Excellent written and verbal communication skills
  • High attention to detail and ability to manage competing priorities
  • Confidence using administrative systems
  • Be available to attend training onsite in Werribee during business hours
